Administrative Assistant

Position Summary

Robert A. M. Stern’s External Communications Team provides strategic public and media relations services and support to Partners and Studios across the firm.  The team is responsible for planning campaigns and creating communications material to present the firm’s services to relevant stakeholders with a consistent tone reflective of the firm’s culture.

 

Essential Job Functions

  • Manage workflow of the department
  • Schedule and organizes complex activities such as meetings, travel, conferences and assists in company events
  • Screens incoming calls and correspondence and responds independently when possible
  • Creates and maintains spreadsheet files and contacts database
  • Interacts with individuals at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload
  • Take meeting minutes
  • Performs other related duties as required and assigned

 

Education:

  • Minimum of a Bachelor's degree
  • Minimum of 1 year of experience in an Administrative Assistant capacity

 

Experience & Qualifications:

  • Responsible, proactive and ability to handle tasks independently
  • Effective oral and written communication skills
  • Excellent interpersonal skills
  • Excellent computer skills, including Word, Excel and Outlook in a Microsoft Windows environment
  • Skills in database management and record keeping
  • Excellent organizational skills
  • Be comfortable dealing with a diverse variety of people on the telephone, email an in-person, in a friendly, efficient and professional manner
  • Must be able to identify and resolve problems in a timely manner
  • Must be able to gather and analyze information skillfully
